Bulk frequency switching

Creating and uploading a bulk frequency switch file.

Bulk frequency switching allows you to update multiple payers at once by moving them from one contract frequency to another. This process is ideal for large-scale changes, ensuring consistency and reducing manual effort. To complete this, you need to prepare a bulk upload file with the correct fields.


Create a file upload template

  1. Select the File Upload tab.

  2. Click Template Library.

  3. Click Create New Template.

  4. Enter a name in the Template Name field.

  5. In the Action type dropdown, select Update Existing.

  6. In the Template type dropdown, select Update Contracts.

    šŸ“ŒNote: For this type of upload, the Selected Columns list is not automatically populated with mandatory fields. You must manually add all required fields for a bulk frequency switch.

  7. Select Does your file have a header to include column headers in the first row.

  8. Once you are satisfied with the selection, click Save.

Your template will appear in the Template Library alongside shared system templates. Click Download to obtain a CSV or XLS file, which you can complete and upload.


Required fields for bulk frequency switching

When preparing your upload file, include the following fields:

  • Reference identifier - A unique identifier for the payer or contract being updated.

  • Schedule name - The name of the frequency or schedule the payer is switching to.

  • Date of change - The date the new frequency will take effect. This must be at least the required payment notice period in the future.

  • Amount required for regular collection frequencies - The payment amount to be collected.

  • End date or number of debits required for fixed frequencies - You must provide either an end date or the total number of collections.

  • Payment day or month - May be required to determine the correct collection date, depending on the schedule type.


Upload the file

  1. In the File Upload tab, select Upload a file.

  2. Select your template from the dropdown menu.

  3. Under Data File, select click to select a file.

  4. Click the Upload File icon.

If the file validates with errors, you must correct the errors before the file can be submitted.
