Creating a bespoke file upload template for new customers.

As an alternative to uploading new customers using our standard templates found on the Template Library tab, you have the option to create a bespoke template, via the File Upload - Template Library tab.

This allows you more freedom to include only mandatory fields plus others you specifically require, in your preferred sequence, and with or without Headings included.

πŸ“ŒNote: If you want to give your customer your own unique Bank Ref which is used when uploading payment files, please ensure you include the 'Custom Direct Debit Reference' within the Chosen Fields column.

To create a bespoke file upload template, follow the steps below:

  1. Navigate to File Upload.

  2. Click on Template Library.

  3. Click on Create New Template.

  4. Add a name for your template on the Template Name field.

  5. On Action type drop-down menu select Upload new.

  6. On Template type there is a dropdown menu where you must select the type of Direct Debits you'll be uploading as a basis for the minimum set of fields required:

    • New Customers AdHoc- for ad hoc Direct Debits, without a scheduled amount or frequency.

    • New Customers Rolling - for rolling Direct Debits with a set amount and frequency but no end date.

    • New Customers Number of Debits - for fixed Direct Debits with a set amount and frequency and automatically ending after a set number of debits have been collected.

    • New Customers End on Exact Date - for fixed Direct Debits with a set amount and frequency and automatically ending on a set date.

    • New Customers All Fields - for uploading a mixture of the above or if you wish to review all available fields before selecting what you require.

  7. Tick does your file have a header if you wish the first row of your file to include headers.

  8. Upon selecting one of the above options, the Selected columns is populated with the minimum set of fields required for that specific type of schedule. You can't remove any of these but you may move any of the Available Columns across, as well as changing the order of the fields by dragging and dropping.

  9. Once satisfied with the selection press Save.

Your template then appears in the Template Library, alongside our shared system templates. Press the Download button to obtain a CSV for completion.
